This page explains the general principles Phoenix applies to protect personal and operational data, including the special protections we give to beneficiaries’ and children’s data. It summarises our internal Data Protection and Information Security Policy; it is not the full policy, which also covers internal systems and procedures for our staff, partners, suppliers and contractors.
1. Our principles
- Lawfulness and transparency: we collect and process data in a lawful, fair and transparent way.
- Data minimisation: we collect and use only the minimum data needed for the purpose.
- Storage limitation: we do not keep data longer than our operational, contractual or legal obligations require.
- Confidentiality and security: we protect data against loss, unauthorized access, disclosure, alteration or misuse through appropriate technical and organizational safeguards.
- Accountability: every employee is responsible for protecting the data under their care.
2. Beneficiaries’ and children’s data
We treat beneficiary information as highly sensitive. We:
- Collect only the minimum beneficiary data we need.
- Use it only for the purpose of the project it was collected for.
- Share it only where there is a legitimate operational or contractual need.
- Apply the highest level of protection to children’s data.
- Never disclose information that could identify a beneficiary or put them at risk.
3. Sharing with third parties
We only share information with a third party (such as a client, donor, partner, supplier or service provider) when:
- There is a legitimate operational or contractual need for it.
- The sharing is permitted by applicable law, regulation or contract.
- Adequate safeguards are in place to protect the information being shared.
4. Reporting a breach
We ask everyone who handles our data to report immediately any lost or stolen device, data loss, information leak, unauthorized access or suspicious activity. Every report is treated confidentially and assessed and addressed according to our approved procedures.
